Our commitment to your privacy: 

Your trust is important to us, therefore we have updated our Privacy Policy to explain how we collect, store and handle your personal data, including changes to address the new standards introduced by the General Data Protection Regulation (GDPR).  The aim of the General Data Protection Regulations is to increase transparency and control over how organisations use your data.  As a school, we have certain statutory duties to which we must comply, or require certain information in order for us to carry out our role, however it is your right to know what information we hold on you, and what we do with that data. 

Why we collect your data:

We collect data to allow us to provide educational and pastoral services as well as discharge our statutory duties.  We also use data to communicate with parents or to enhance the education we provide. 

How we collect your data:

We do this in a number of ways for different types of data.  Data held on the child (including sensitive personal data relating to medical conditions and requirements, ethnicity and religion) and associated family information is collected through the registration form and annual update requests.

 Data on progress and pastoral care is collected through teacher led information and stored either on Classroom Monitor or in internal files such as the pupil file. 

Photographs of pupils are taken in line with the specific photography consents given by parents. 

When we’ll share your data:

We will on occasion share personal data with third parties in order to provide a service to parents or pupils.  For example, we share children’s basic details and parent contact details with our parent communication and virtual learning environment system ‘e-schools’, or we share dietary requirements with our contract catering company Chartwells.  All third parties that we work with hold information on servers within the European Economic Area, compliant with the legal requirements of data protection. 

Know your rights:

You have many rights regarding your personal data, including seeing what data we hold (known as a Subject Access Request), updating your information, correction of any inaccuracies or the right of erasure.  To request any amendments to the data we hold or to request erasure, please contact ictsupport@stainesprep.co.uk or secretary@stainesprep.co.uk .  We will action this, subject to any statutory requirements that we must comply with.
